A list is a named group of records from one object — for example “Q4 London prospects” (People) or “Target accounts” (Companies). Each list opens as a spreadsheet-style grid. A view is a saved way of looking at a list: a Table or Kanban layout with its own filters and sorting. Create a list

Open the Create a list dialog

On the Records page click New → New list. (Click Templates instead to start from a ready-made list — it opens the Use a template tab.)

Choose how to start

On the Blank project tab you can:
  • Type what you want in the AI box — Connie opens Chat and builds it for you.
  • Start from scratch — an empty list (continue below).
  • Upload a file — a CSV. See Import and export.
  • Quick options: Find people, Find companies, Find jobs (see Lead Finder) and Extract from LinkedIn.

Name the list and pick an object

In Create a new list, enter a List name (required, up to 200 characters). Under Object (optional) pick People, Company, Deal, Tasks or a custom object. Leave No object (table in Artifacts) only if you want a one-off private table. + Create object makes a new custom object — see Objects and fields.

Click Create list

You’ll see List "<name>" created. If you were inside a folder, the list is created in that folder.
A new list on an existing object starts by showing that object’s standard columns. Columns that you or teammates added to the object start hidden — show them with the column settings button.
The Import from CRM quick option in this dialog only opens the blank list form. To actually import from a CRM, open a list and use Actions → Import → Import from CRM. See CRM sync.

Add records to a list

Open the list, then Actions → Add records:
  • Add record (on Deals: Add deal) — People and Companies open a short form.
  • Add multiple records — adds 5, 10, 25, 50 or 100 blank rows, or a custom number from 1 to 5,000.
Other ways in: Lead Finder (Actions → Find leads), CSV or LinkedIn import (Actions → Import), or CRM sync. Click any cell to edit it. Right-click a row for Insert row above, Insert row below, Cut, Copy, Paste and Delete row.

Search, filter and sort

  • Search (magnifying glass in the toolbar) searches the records in this list.
  • Filter builds conditions with AND / OR. Operators include equals, does not equal, contains, does not contain, starts with, ends with, is empty, is not empty, is one of, is not one of, greater than, less than, is before, is after, is between, is true, is not true, and is me (for owner-type fields). Enrichment columns also offer is found, is not found and is verified.
  • Sort orders rows by a column. You can also sort from a column header (Sort Ascending / Sort Descending).
Filters you set on a list’s Table tab are saved on the list, so everyone who opens it sees them. For private filtering, create your own view (below).

Show, hide and pin columns

  • Use the column settings button in the toolbar to show or hide fields.
  • Right-click a column header for Hide Column, Pin Column (keeps it visible while you scroll sideways), Blur (blurs the values on screen) and more. See Objects and fields.

Create and manage views

Add a view

Click + next to the view pills above the grid. In Add new view, choose a type, give it a name, and pick Group by / Display column for a board.

Set its filters and sorting

Each view stores its own filters, sorts and visible columns.

Manage it

Open a view pill’s menu for Rename, Copy link (“Copied view link”), Duplicate, Delete, Make default and access settings.
Which view types are available depends on the object:

See list analytics

Click the Analytics button in the toolbar to open stat cards for the list:
  • People: Total people, Average ICP score, Email coverage.
  • Companies: Total companies, Average headcount, Total industries.
  • Deals: Total pipeline, Open deals, Avg deal size.
  • Tasks: Total tasks, Overdue, Urgent.
  • Other objects: Total records, Added, Updated.
Click Add custom measure to add your own. For workspace-wide dashboards, see Analytics.

Remove or delete records

Select rows with the checkboxes, then click Delete in the selection bar (or right-click → Delete row). On a list you created, Connie asks which you mean:
  • Remove from “list name” — “Drops the record from this list only. It stays in the object and in every other list that holds it.”
  • Delete everywhere — “Soft-deletes the record itself — it disappears from this list, every other list, and any workflow that mirrors it.”
Up to 5,000 rows can be removed or deleted at a time. Deleted records are kept for 7 days and then permanently removed. If you deleted something by mistake, email support@connie.ai straight away with the list name. (If Connie deleted them for you in Chat, ask in that same chat to undo it — the step’s details show “Undo: Available until …”, up to 7 days.) Want to start fresh without the demo data? Actions → Remove sample records.

Organise lists

On the Records page, hover a list and click ⋯ (or right-click it):
  • Star / Unstar — starred lists sit near the top.
  • Add to folder / Remove from a folder.
  • Rename — or click the list name in its breadcrumb.
  • Duplicate — opens Copy with Copy into: Standalone list / Existing object and a Column mapping step (create a new column, or map to a compatible one).
  • Share and Delete (below).
To act on several lists at once, tick their checkboxes for Select all, Star / Unstar, Move to folder and Delete. Folders can’t be bulk-selected.

Folders

Create a folder

New → New folder, enter a Folder name, click Create. You’ll see “Folder created”. Owners, admins and members can create folders.

Move lists into it

Use a list’s ⋯ → Add to folder, or bulk-select lists → Move to folder.
Folders are one level deep. Deleting a folder with lists in it asks you to choose Delete folder only (its lists move back to the top level) or Delete folder and contents.

Open sharing

In the list, click Share → Manage access (or ⋯ → Share on the Records page).

Choose who has access

In the Share "<list name>" dialog, pick Everyone in your workspace, or Selected members only and add people. Give each Can view or Can edit.

Save

You’ll see “Sharing updated”. Copy link copies the list’s address for teammates.
Sharing is inside your workspace only — there’s no public link to a list. Only the person who created the list, or a workspace owner or admin, can change who it’s shared with. To share a reusable copy of the list’s setup, use Share → Share as template.

Delete a list

Open the list menu

On the Records page, click the list’s ⋯ → Delete.

Read the confirmation and confirm

Normally: “The list is removed; its records are not deleted.” The records stay in the object and in any other lists.
If the list is the only list on a custom object, deleting it also deletes the object and all its records — the dialog says so. If the custom object has other lists, you’ll see an optional checkbox to also delete the object, all its records and its other lists.

Good to know

  • Who sees which lists: owners and admins see every list. Members see lists they created, lists shared with everyone in the workspace (shown as Anyone in <workspace> in the Shared with column), and lists shared with them.
  • Default lists (People, Companies, Deals, Tasks) can’t be deleted.
  • Creating a list on an object needs edit access to that object.
  • Duplicating a list into another workspace isn’t supported — export a CSV and import it there.
  • List views are not available for People, Companies and Deals, and Table views are not available for Tasks.

Troubleshooting

Why: the People, Companies, Deals and Tasks lists are built in. Fix: delete or remove the records you don’t want instead. When bulk-deleting, default lists are skipped with “is a default list and can’t be deleted.”
Why: it was the only list on a custom object, so the object and its records were deleted too. Fix: email support@connie.ai straight away (deleted records are permanently removed after 7 days). Next time, keep another list on the object.
Why: only the list’s creator or a workspace owner/admin can change sharing. Fix: ask them to share it with you or change the setting.
Why: filters on a list’s Table tab are saved on the list for everyone. Fix: add your own view with + and filter there.
Why: List views aren’t available for People, Companies and Deals. Fix: use Table or Kanban.
Why: lists can only be duplicated within a workspace. Fix: Actions → Export → Export CSV, then import the file in the other workspace.
Why: some lists failed to delete. Fix: click Delete again with the remaining lists still selected.
Why: columns added to the object start hidden in new lists. Fix: open the column settings and switch the column on.
Why: adding to a list from the record side panel isn’t available yet. Fix: use Duplicate, an import, or the Lead Finder to build the list.
