Connect your calendar and Connie sends a notetaker (called “Connie Notetaker” by default) to your video meetings. After each meeting you get the recording, a transcript, a summary, insights such as talk ratio and key moments, and a list of suggested action items, such as a follow-up email or a new deal. You review them and approve the ones you want, and Connie carries them out. “Calls” in Settings covers meeting recording. Phone calls you make with the dialer are a separate feature; see Calls and the dialer.

Connect your calendar

Connecting a calendar lets the notetaker join meetings on it automatically. Only workspace owners and admins can finish this setup.

Open Calendar connections

Go to Settings → Calls → Calendar connections. (If nothing is connected yet, Inbox → Meetings also shows Connect your calendar with Google calendar, Microsoft calendar and Connect Zoom cards.)

Click Connect

Next to Google Calendar or Microsoft Outlook, click Connect and approve calendar access in the window that opens.

Choose the calendars to record

In Calendars to record, tick the calendars whose meetings can be recorded. Only your main calendar is ticked at first; use Select all to tick them all. At least one must stay ticked.

Done

You’ll see “Calendar added to Calls — meetings imported.” (or “Calendar connected — syncing your meetings…”). Connie imports your meetings for the next 28 days and books the notetaker for the ones your recording rules allow.
If you’re asked a question while connecting:
  • “already connected” — you already connected this calendar account for workflows. Click Continue to use it for meetings too, or Connect a different account.
  • “Where should this calendar record?” — this calendar already records into another workspace. Only one workspace can record a given calendar. Choose Keep in the other workspace, or Record here.

Manage a connected calendar

In Settings → Calls, click Action next to a calendar account: A calendar recorded by this workspace shows Recording owner. One recorded somewhere else shows “Recording in” plus the other workspace, with Record here instead (admins only).

Zoom

Under Zoom connections, click Connect to connect your Zoom account. This lets you start instant Zoom meetings with the notetaker from Add meeting.
To make sure a Zoom meeting is recorded, have it on a connected Google or Outlook calendar (with the Zoom link in the event), or add it with Paste Meeting URL.

Choose what gets recorded

Go to Settings → Calls. Only owners and admins can change these settings; everyone else sees “You have read-only access. Only workspace admins can change settings.”

Skip one meeting

Put [no_record] (or [no-record] / [norecord], any capitals) anywhere in the meeting’s title in your calendar. The notetaker won’t join, whatever your other settings are.

How the notetaker joins

The notetaker joins a meeting from your calendar automatically when all of these are true:
  1. The calendar is connected in Settings → Calls, Auto-record is on, and the meeting is on a ticked calendar.
  2. This workspace is the calendar’s Recording owner.
  3. The meeting has a Google Meet, Zoom or Microsoft Teams link.
  4. The meeting is within the next 28 days.
  5. What to record allows it.
  6. The title doesn’t contain [no_record].
  7. The meeting isn’t cancelled.
A meeting your rules skip shows Excluded. The notetaker joins at the start time. If your meeting has a waiting room or lobby, someone must let it in. When you move, cancel or change the link of a meeting in your calendar, Connie updates the notetaker automatically. If a change doesn’t come through, use Action → Resync.

Record a meeting yourself

In Inbox → Meetings, click the Add meeting icon at the top of the list. Meetings you add yourself are always recorded, even with Record external meetings only turned on.

Find a meeting

Inbox → Meetings has three pills at the top of the list:
  • Recent: finished meetings, newest first (including ones that were missed or failed).
  • Upcoming: booked, joining, waiting to be let in, or live, soonest first. A meeting drops off this list 15 minutes after its start time if the notetaker hasn’t joined.
  • Actions: meetings with action items you haven’t dealt with yet.
Cancelled meetings don’t appear in either Recent or Upcoming.

Meeting statuses

Review a meeting

Click a meeting in Inbox → Meetings. Use Expand to full width for more room, and Share to copy a link to the meeting.
  • Summary: what was discussed, Participants (the people who actually joined) and Key topics. If you’ve set up post-call instructions, the Connie follow-up card appears here too.
  • Transcript: the recording player (speed 0.5× to 2×) and a transcript labelled by speaker. Click a line to jump to that moment. Copy transcript copies it with timestamps. In full width you can add comments pinned to a point in the recording.
  • Intelligence: overall sentiment, filler words, questions asked, longest monologue, average response pause, competitors mentioned, a sentiment timeline, talk ratio, and up to 10 Key moments (such as Decision, Blocker, Pricing, Next steps or Objection). These are AI estimates.
  • Meeting chat: shown when people used the meeting’s chat.
  • Actions: the suggested action items, with a count.

Approve action items

After a meeting is processed, Connie reads the transcript, checks your Records, and suggests next steps. It first adds every outside attendee to People, so updates go to the right person instead of creating duplicates. You get a notification: “Action items ready”. Connie can suggest:
  • Send email
  • Create person / Update person
  • Create company / Update company
  • Create deal / Update deal
  • Create task / Update task

Open the Actions tab

Open the meeting and go to Actions, or use the Actions pill to find meetings with items waiting.

Check and edit

Click an item to open it. For an email, choose the mailbox under From email and edit To, Cc, Bcc, Subject and the message. For an update, check the record it’s updating. Your edits save automatically, and the item shows its credit cost.

Approve

Click Approve (or Send email for an email, Save & approve for an update). Approving runs the action straight away; the button shows “Working…” while it runs.
  • Mark as complete (the checkbox) marks an item done without running it.
  • The trash icon (Delete action) declines an item. Click Undo to bring it back.
  • If one item depends on another that hasn’t been created yet, Connie asks “Approve before its dependency?”. Approve the other item first, or click Approve anyway.
  • Once an action has run, it shows “View only — this action has already run”.

Recap email

When Send recap email is on, Connie emails a recap once the meeting’s action items and key moments are ready.
  • Subject: “Recap —” followed by the meeting title.
  • Sent from: Connie’s own email address, not your mailbox.
  • Contents: the summary, up to 5 key moments and up to 8 action items. Workspace members also get links to the meeting’s key moments and action items. External attendees get the recap only, with no action items and no links.
  • Who gets it: set Send to to Host (the default) or tick Attendees.

Post-call instructions

Post-call instructions are your own standing orders that Connie carries out after every meeting you attended, for example “Update the deal stage and draft a thank-you email”. They’re personal: only you can see your instructions and what Connie did.

Write your instructions

Go to Settings → Calls → Post-call instructions and write what Connie should do (up to 4,000 characters). Then turn on Run after my calls. It runs once per call, after the call finishes processing.

Choose a mailbox

Under Email from, pick the mailbox Connie writes and sends email from.

Optional: let Connie send without asking

Turn on Email attendees without asking to let Connie email the meeting’s external attendees from that mailbox. Otherwise it writes drafts.
After saving you’ll see “Version” and a number, with “Changes apply to calls that finish after you save.” The result appears on the meeting’s Summary tab as the Connie follow-up card, with a status (Running, Waiting for your approval, Completed, Partly completed, Failed, Stopped or Skipped) and Stop / Run again buttons. What a follow-up can and can’t do:
  • It updates Records and writes drafts on its own.
  • It sends at most one email per follow-up, to an attendee of the call. That email doesn’t use your credits.
  • It never messages anyone on another channel or changes anything in another app.
  • It skips any step that would cost credits, need your approval, need a connection or need a choice. The card tells you what was skipped.

Good to know

  • Who can do what:
    • Connect calendars and change Settings → Calls: workspace owners and admins.
    • Resync a calendar: admins, or the member who connected it.
    • Record a meeting with Add meeting, view meetings and approve action items: any member.
    • Post-call instructions: each member for themselves (not guests).
  • Credits:
    • Processing a recorded meeting (transcript, summary, insights and action items) costs 1 credit per meeting, whatever its length. If processing fails, the credit is refunded. Clicking Reanalyze doesn’t charge again.
    • Approving a Send email action costs 1 credit. Approving person, company, deal and task actions is free.
    • Post-call instruction follow-ups don’t use your credits.
    • See Credits.
  • Plans: meeting recording is available on every plan.
  • Language: meetings are transcribed in English only. Summaries, insights, action items and recaps are in English too, and speech in other languages won’t transcribe correctly.
  • Limits: meetings are booked up to 28 days ahead. The notetaker waits about 20 minutes in a waiting room before giving up. Recordings are kept for your Retention period (90 days to 3 years).
  • Not available: a live transcript during the meeting, a Stop recording button, and exporting a meeting.
  • Restricted Google Meet meetings: the notetaker joins signed in to a Google account, so it shows that account’s name instead of your Bot display name.

Troubleshooting

Why: one of the conditions in How the notetaker joins wasn’t met. Common causes: Auto-record is off, the meeting is on a calendar that isn’t ticked, the event has no meeting link, another workspace records this calendar, Record external meetings only is on and everyone is from your workspace, or [no_record] is in the title. Fix: check Settings → Calls (Auto-record, Calendars, the Recording owner badge and What to record), then click Action → Resync. For a meeting happening now, use Add meeting → Paste Meeting URL.
Why: the meeting has a waiting room or lobby. Fix: admit the notetaker from the meeting. If nobody lets it in within about 20 minutes, the meeting ends as Missed and you get “Call was not recorded”.
Why: the Zoom link was missing its password, or the meeting requires registration or sign-in. Fix: use the full invite link (including the part after ?pwd=) and remove the registration requirement.
Why: nobody spoke, the audio didn’t reach the notetaker, or the meeting wasn’t in English (meetings are transcribed in English only). Fix: there’s nothing to reprocess. Check that participants weren’t muted for the whole meeting.
Why: the analysis didn’t finish. Fix: click Reanalyze. You won’t be charged again.
Why: processing usually takes a few minutes. If your workspace ran out of credits, the meeting isn’t processed. Fix: check your balance and add credits. If it’s still stuck, contact support.
Why: connecting calendars for recording and changing Settings → Calls is limited to owners and admins. Fix: ask a workspace admin.
Why: instant Google Meet meetings aren’t set up for your workspace. Fix: use Paste Meeting URL with a Meet link, and contact support.
Why: instant Teams meetings only work with a Microsoft work or school account that has Teams permission. Some companies also need IT approval (“Your IT admin needs to approve Teams meetings.”). Fix: click Give permission, ask your IT admin, or paste a Teams link with Paste Meeting URL.
Why: a Send email action needs a connected mailbox to send from. Fix: click Connect Gmail or Connect Outlook, or connect a mailbox. If you have several, pick one under From email.
Why: the workspace doesn’t have enough credits for this action. Fix: add credits and approve it again.
Why: Send to is set to Host by default. Fix: an admin can tick Attendees in Settings → Calls.
