A scheduled task is an instruction that Connie re-runs inside one chat on a timetable. For example: “Every Monday at 9:00, summarise last week’s new deals” or “Every 2 hours, check for replies from my top 20 leads”. Each time it runs, Connie answers in that chat as a new message, just as if you had typed the instruction yourself. Where: left sidebar → Automations → Scheduled tasks tab · https://connie.ai/<workspace-id>/automations?type=schedule. Each task also lives in its chat: open the chat, then click the Chat details icon in the chat header and look under Scheduled.

Is a scheduled task the right tool?

  • Scheduled task: you want Connie to think and report on a schedule, and you’ll read the answer in a chat.
  • Workflow with a Schedule trigger: you want a fixed set of steps to run on a schedule, write results into Records, or send emails and messages at scale.
  • Agent with a Schedule trigger: you want a dedicated AI worker with its own instructions, tools, rules and memory to own a job.

Create a scheduled task

There are three ways. Pick one.

Open the chat

Open the chat where you want the answers to appear. Send at least one message first if it’s a new chat.

Open Chat details

Click the Chat details icon in the chat header. Under Scheduled, click + (Add scheduled task). The Schedule Task form opens.

Fill in the task

  • Task name (up to 160 characters)
  • Task instructions: what Connie should do each time, written as you would type it in chat (up to 20,000 characters)
  • Repeat: Daily, Weekly or Interval
  • Time (Daily and Weekly), Days (Weekly), or Every (minutes) (Interval, 5 to 10,080 minutes, which is one week)
  • Timezone: defaults to your browser’s timezone

Click Create task

A task you create with the form starts Active straight away.
Write the instructions so they make sense on their own, without the earlier chat. Say what to look at, the time window (“since the last run”, “in the last 7 days”) and the format you want back.

See and manage your scheduled tasks

On Automations → Scheduled tasks you see the tasks you created, across all your chats. The Trigger column shows the schedule, for example “Every day at 09:00 · Europe/London” or “Every 2 hours · UTC”. The Runs column always shows ”—” for scheduled tasks. Status: Click a row to open its chat with the task’s details. Use the row’s ⋯ menu for:
  • Run now: runs it once immediately (“Running now. Its answer will be posted in the chat.”). Works even when the task is paused, and doesn’t change the schedule.
  • Pause / Resume: stops or restarts automatic runs (“Schedule paused” / “Schedule resumed”).
  • Delete: asks Delete "[task name]"? — “This scheduled task will stop running and be removed from its chat. This cannot be undone.”

Edit a scheduled task

Open the task

Click the task’s row on Automations → Scheduled tasks, or open its chat and click it under Chat details → Scheduled.

Change the instructions or schedule

Edit the Instructions text directly and click Save changes. To change the name, repeat, time or timezone, click Edit, make your changes, then click Save changes.
The details also show the next run (“Next run …”) or “Automatic runs paused”. Each pause, resume, edit and delete adds a short line to the chat so everyone in it can see what changed.

What a run looks like

Each run appears in the chat as a new turn titled Scheduled run of "[task name]" (or Ran "[task name]" now for Run now), followed by Connie’s answer. Runs happen in Connie’s cloud, so your computer doesn’t need to be on.
  • Connie doesn’t email or notify you when a run finishes. Open the chat to read the answer.
  • If your instructions ask Connie to do something that needs approval, such as sending an email, the run pauses and the task shows Needs approval. See Approvals in a scheduled run.

Approvals in a scheduled run

A scheduled run happens without you watching, so an action that needs approval waits for you:
  • The task shows Needs approval (“Waiting for approval before it can continue.”).
  • Only you, the task’s owner, get the notification.
  • Open the chat (click the row) and answer the approval card. See Approvals in chat for the buttons.
  • The approval has a deadline (24 hours by default). The card shows how long is left (“expires in …”). If nobody answers in time, the action isn’t carried out and that run ends: “This request expired before you answered. Nothing was changed.”
To avoid waiting, an owner or admin can set the tool to Always allow in Tool permissions.

Good to know

  • Who can schedule: workspace owners, admins and members. Guests can’t.
  • Chat access: you need edit access to the chat. On a chat shared with you as view-only you can see, pause or remove a task, but not create one, resume it or use Run now.
  • Not in Agent chats: you can’t add a scheduled task to an Agent’s conversation. Use an Agent Schedule trigger instead (see Agents).
  • You only see your own tasks on the Automations page, up to 100.
  • Schedules: daily, weekly (pick days), or every 5 to 10,080 minutes. No monthly or one-off schedules. Default time 09:00.
  • No overlap: if the previous run is still going when the next one is due, the next one is skipped.
  • No catch-up: a run that couldn’t start at its time isn’t made up later.
  • Runs as you: each run uses your access and your connected accounts.
  • Credits: each run is billed like a normal chat message, for AI usage plus any paid tools it uses. Frequent schedules add up: a task every 5 minutes runs 288 times a day. See Credits.

Troubleshooting

Why: tasks Connie creates are saved Paused. Fix: click ⋯ → Resume on Automations → Scheduled tasks, or Resume in the chat’s Scheduled panel.
Why: Connie pauses a task when it can’t run it. Hover the status to see why, for example “The task owner no longer has chat access. Restore access before resuming.” or “Chat admission needs attention (HTTP …). Open the chat, resolve access or credits, then resume.” Fix: restore chat access or add credits, then click Resume.
Why: the previous run was still going, or the task was paused at that time. Fix: use a longer interval or a simpler instruction. Use Run now for a one-off run.
Why: an action in the run is waiting for you. Fix: click the row to open the chat and approve or reject the card. If the deadline passed, that run ended without doing the action; use Run now to try again.
Why: a scheduled task only posts its answer in the chat. Fix: read it in the chat. To email results on a schedule, include an explicit send step in the instructions (it may need approval), or build a workflow instead.
Why: you have view-only access to the chat. Fix: ask the chat’s owner for edit access, or create the task in your own chat.
Why: the chat belongs to an Agent. Fix: add a Schedule trigger to the Agent instead, or schedule the task in a normal chat.
Why: the interval is outside the allowed range. Fix: pick a value from 5 minutes up to 10,080 minutes (one week).
Why: a Weekly task has no days selected, or the timezone isn’t recognised. Fix: select at least one day, and choose the timezone from the list.
Why: your change is saved, but the scheduler hasn’t picked it up yet. Fix: wait a minute; it sets itself up automatically.
Why: the task was changed somewhere else while you were editing. Fix: refresh the page and make your change again.
Why: scheduling is switched off on the server. Fix: contact support@connie.ai.
Why: the Automations page lists only tasks you created. Fix: open the chat the task belongs to and look under Chat details → Scheduled, or ask its owner.
